Who This Applies To
This policy covers Airborne Arts Costa Rica (operating at Aerial Avalon, Tinamastes, Costa Rica) and the website airbornearts.com. It explains what happens with the information you give us when you contact us, register for a retreat, pay through our checkout, or browse the site.
What We Collect
We only collect what we need to run a retreat, deliver a service you asked for, or respond to your message.
- When you register or pay: your name, email address, phone number, billing address, and the retreat or service you are paying for. Payment card information is collected by our payment processor (Stripe) and never touches our servers.
- When you contact us: your name, email address, and the contents of your message.
- When you browse the site: standard technical information that any website receives, including IP address, browser type, and pages visited. This is handled by our hosting provider (Cloudflare) for security and performance purposes.
- Dietary needs, accessibility needs, emergency contact information if you share them with us during retreat coordination.
How We Use It
- To process your registration and payment.
- To coordinate the logistics of your retreat: accommodations, meals, transfers, training schedule, dietary requirements, excursions you have signed up for.
- To respond to questions and follow up on inquiries.
- To send retreat-specific updates, reminders, and pre-arrival information.
- To keep records required for our own accounting, tax, and legal obligations.
- To improve the website and the experience we offer.
Who We Share It With
We do not sell your information. We do not share it with advertisers, marketing networks, or unrelated third parties. We do not rent, trade, or otherwise make your information available for any purpose outside of running the retreat or business you have engaged us for.
The only third parties we share your information with are those genuinely required to operate the retreat or the business, and only the minimum information they need:
- Stripe processes our card and bank payments. Card data is held by Stripe under their privacy policy and is not stored on our servers.
- Excursion and tour operators (for example, canyoning, paragliding, surfing, waterfall hikes) may need your name, weight or relevant health information, and an emergency contact in order to provide their service safely. We share only what they need for the specific activity you have booked.
- Transportation providers may receive your name, pickup time, location, and flight details to arrange transfers in and out of the retreat.
- Coaches and instructors teaching at your retreat may receive your name and relevant training or medical information to teach you safely.
- Our website and operations providers (Cloudflare for website hosting, security, and delivering contact form messages to us by email). They do not use your information for their own purposes.
- Legal or regulatory authorities, only when we are required by law (subpoena, court order, lawful request from a government agency).
How Long We Keep It
For active retreats: from registration through the retreat and reasonable follow-up. For past retreats and customers: indefinitely as part of our business records, unless you ask us to delete it. Tax and accounting records are retained as long as required by Costa Rican and applicable foreign law. Email correspondence is kept indefinitely unless you ask us to delete it.
Your Rights
You can, at any time:
- Ask us what information we have on file about you.
- Ask us to correct or update inaccurate information.
- Ask us to delete your information, subject to anything we are legally required to retain (such as financial records).
- Withdraw consent for any communication and unsubscribe from any future emails.
Email jonathon@airbornearts.com and we will respond within a reasonable time, typically within 30 days.
Children
Our retreats are intended for adults. We do not knowingly collect personal information from anyone under the age of 16. If a guardian believes a minor has provided information to us without consent, please contact us and we will delete it.
Cookies and Tracking
We use a minimal set of cookies and similar technologies for the website to function and to keep it secure. These are managed by our hosting provider (Cloudflare). Our payment checkout (Stripe) sets cookies during the checkout flow as required to process the payment. We do not use third-party advertising cookies and do not allow third-party marketing trackers on the site.
Your choice. A banner on your first visit lets you choose between "Accept all" and "Essential only". Essential cookies (sign-in sessions, checkout, security checks) always work. If you choose Essential only, we do not set the attribution cookie described below, and embedded third-party content (our Instagram feed and WhatsApp chat widget) stays switched off. For visitors in the European Union, that embedded content is not loaded at all until a choice is made. You can change your mind any time by clearing this site's cookies and site data in your browser, which brings the banner back.
Embedded content. Some pages embed content from other companies: our Instagram feed and WhatsApp chat button (Elfsight), maps and calendars (Google), and videos (YouTube). When loaded, these services may set their own cookies under their own privacy policies. Our own visit counting is cookie-free: it uses a short-lived technical identifier that is rotated daily and cannot follow you across days or other websites.
If you reach a retreat page through one of our QR codes or tagged links, and you have not chosen Essential only, we set a single first-party cookie (named "aa_src") that remembers which link brought you, for up to 30 days. It holds only a short source label such as "qr", contains no personal information, and simply lets us measure how many visits and bookings each QR code or link generates. It is never shared with any third party, and clearing your cookies removes it.
Your cart selections on the checkout page are stored locally in your browser (in localStorage). This information stays on your device and is only sent to our server when you proceed to checkout.
International Transfers
Airborne Arts operates from Costa Rica. The services we use to run the site and the business (Stripe, Cloudflare, email providers) may store and process your information in countries other than your own, including the United States and the European Union. By using our website and services, you understand that your information may be transferred internationally for these purposes.
Changes to This Policy
We may update this policy from time to time. The "last updated" date at the top reflects the most recent change. Material changes will be highlighted at the top of the page for a reasonable period.
